Download your in-warehouse receipts from the Orders and Returns page of your Costco account, save the Business Delivery invoice, or photograph the paper receipt, and every item comes back as a spreadsheet row with item number, description, quantity, price and tax marker. Instant savings, deposits and fees stay on their own rows, so food cost and the bookkeeper's month end both start from clean numbers.

The short answer
To convert Costco Business Center receipts to Excel, sign in to your Costco account, open Orders and Returns, choose the In-Warehouse tab and save each receipt (about two years of history is shown online), or photograph the paper receipt, then upload the files to InvoiceExtraction and export XLSX or CSV. Each item becomes one row with item number, description, price, tax marker and any instant savings line, and the receipt date, warehouse and total repeat on every row. Plans start at $49 a month, or $24 a month billed yearly.
Costco item numbers land in a text column, so the same case of chicken thighs lines up across every trip and matches your costing sheet with a simple lookup.
Discount lines print under the product as a separate negative amount. They stay on their own row and keep the item number they reduce, so you see the real price you paid.
Taxable and non-taxable items are flagged per line, which makes resale and tax-exempt checks a filter instead of a squint at register tape.
Container deposits such as California CRV, bag fees and delivery charges are separate rows, so they never inflate the cost of the product above them.
Costco prints the total number of items sold on each receipt. The extracted lines are checked against it and against the receipt total, and gaps are flagged.
One combined file for a month of trips, or expenses sent to QuickBooks on the Plus plan with the receipt image attached.
In your Costco account open Orders and Returns, pick the In-Warehouse tab, set the date range and save each receipt, or take a flat photo of the paper copy before the thermal print fades.
Costco, Restaurant Depot and distributor invoices can share one batch. Each document is read on its own.
Usually a faded price on an old tape or an instant savings line that a photo cut off.
Download XLSX or CSV with a row per item, or send the purchases to QuickBooks as paid expenses.
A small kitchen can easily make two Costco Business Center runs a week for proteins, dairy, oil, paper goods and cleaning supplies. The receipt is the only line level record of those prices, and it is printed on paper that fades. Converting it the same day keeps the lines readable and puts them next to the rest of your purchasing.
If you also shop cash and carry, the Restaurant Depot receipts to Excel converter uses the same columns, and the Sysco invoice converter does the same for truck deliveries, so a warehouse case and a delivered case compare line for line.
Convert a Costco receiptUpload the receipt PDF, a screenshot of the receipt from the Costco app or a photo of the paper copy, then export XLSX or CSV. The header (warehouse, date, time, member number where printed and receipt total) is read once and repeated on every row, and each product line is split into item number, description, quantity, price and tax marker. Lines are added up against the receipt total and the printed item count before the file is created.
Copying from the receipt view or running it through a general PDF converter tends to give one long column where descriptions, prices and savings run together. That is fine for a single trip and miserable for a month of them.
Sign in on costco.com or in the Costco app and open Orders and Returns. Warehouse purchases are under the In-Warehouse tab, where you can change the date range and open each receipt to view, print or save it. Costco shows roughly the last two years online, and new trips can take up to a day to appear. For older purchases, Costco member services can send copies on request.
Business Centers are open to any Costco member, so the receipts sit in the same account whether you hold a Business or Executive membership. Each trip is a separate receipt, which is why a converter that takes a whole folder at once saves the most time.
For walk-in shopping you get a register receipt, and for accounting it works as the vendor document: it shows the date, every item, the price, the tax and how you paid. Orders placed through Costco Business Delivery, which delivers to businesses in select areas, come with an order invoice instead. Both convert here into the same columns, so delivered orders and warehouse trips end up in one sheet.
This is how a few typical lines come out. Descriptions are kept exactly as Costco prints them, which is short and abbreviated, and you can add your own product name column once and reuse it every month.
| Line on the receipt | Item number | Qty | Price | Tax | Row type |
|---|---|---|---|---|---|
| Chicken thighs, boneless | Text, as printed | 2 | $31.98 | No | Product |
| Instant savings on the line above | Same item number | n/a | -$4.00 | n/a | Savings |
| Paper towels, case | Text, as printed | 1 | $24.99 | Yes | Product |
| California CRV | n/a | n/a | $1.20 | n/a | Deposit |
Independent restaurants, delis, coffee shops, food trucks and caterers that buy a real share of their food and supplies at a Business Center and want those prices in the same food cost workbook as their deliveries. Offices and clinics that run breakroom and janitorial purchases through the warehouse. And bookkeepers who get a pile of Costco receipts from a client each month and need them split into food, paper, cleaning, equipment and office supplies instead of one lump expense.
Yes, the tax marker on each row makes it a quick filter. Costco requires business members to have resale information on file before items are sold tax exempt for resale, and a mistake at the register shows up as tax on lines you expected to be exempt. With every receipt exported as rows, you can filter the taxed lines for the month and raise them with the warehouse, instead of finding them at year end.
Yes. Export a CSV shaped for a QuickBooks expense import, or use the QuickBooks export on the Plus plan, with vendor, date, receipt number and line amounts filled in and the receipt image attached. Because the purchase is already paid, most bookkeepers post it as an expense against the card or bank account used at the register, with lines split across food, supplies and office accounts. The QuickBooks AP automation page covers the bill side for vendors you pay on terms.
You pay by pages processed, not by receipt, store or location. Starter is $49 a month ($24 a month billed yearly) for up to 500 pages on the most accurate model or 2,500 on the faster one, which covers years of warehouse trips for a single business. Plus is $149 a month ($74 billed yearly) and adds bulk upload of 50 files at a time, custom extraction templates, category normalization, QuickBooks export and three seats. Restaurant back office suites that include receipt capture are usually priced per location, as the MarginEdge pricing breakdown shows. Plan details are on the pricing page.
Save the receipt from Orders and Returns in your Costco account, or photograph the paper copy, upload it here and export XLSX or CSV. Each item becomes a row with item number, description, quantity, price and tax marker, and the receipt date, warehouse and total repeat on every row.
Costco shows about two years of in-warehouse receipts under Orders and Returns, and a new trip can take up to a day to appear. For older purchases, ask Costco member services for copies, then upload them here.
Yes. The savings line stays as its own negative row and keeps the item number it reduces, so you can see both the shelf price and the price you actually paid.
Yes. Business Delivery order invoices are read the same way as warehouse receipts and exported into the same columns, so delivered and walk-in purchases sit in one file.
Yes. Receipts and distributor invoices are read without templates and land in the same columns, so all of your purchasing can be compared in one sheet.
