Short answer. MarginEdge costs $350 per location per month, or 10% less on annual billing, which works out to $315 a month and $3,780 a year per location. Adding Freepour for liquor inventory raises it to $500 per location per month, and Toast restaurants pay Toast an extra $50 per location per month for the API access MarginEdge needs. There are no setup or cancellation fees on monthly billing and no free trial. If the only part you would use is getting supplier invoice lines into Excel or QuickBooks, a page-priced extraction tool does that from $49 a month for every location combined.
MarginEdge pricing in 2026
MarginEdge is one of the few restaurant back office vendors that prints its price. The figures below come from the MarginEdge pricing page as checked in October 2026. Prices are per location, every feature is included in every plan, and the number of users and invoices is not capped.
| Plan | Monthly billing | Annual billing (10% off) | What it adds |
|---|---|---|---|
| MarginEdge | $350 per location per month | About $315 per month, $3,780 a year | Invoice processing, bill pay, inventory, recipes, price tracking, POS and accounting integrations |
| MarginEdge plus Freepour | $500 per location per month | About $450 per month, $5,400 a year | Everything above plus Freepour scale-based liquor inventory |
| Toast API fee (paid to Toast) | $50 per location per month | Same | Toast Restaurant Management Suite access so MarginEdge can pull sales data |
| Onboarding packages | Optional and quoted, with separate packages for 1 to 4 locations and for groups of 5 or more | Hands-on setup help beyond the included 1:1 training | |
Two more line items are worth knowing before you sign. Freepour customers pay a $500 fee for a scale that is not returned, and some US states charge sales tax on the subscription. Third-party reviews also point out that MarginEdge is not a bookkeeping system, so you still pay for QuickBooks Online, Xero or Sage Intacct on top.
How much does MarginEdge cost for multiple locations?
Because the price is flat per location, the bill grows in a straight line. A three-unit group on monthly billing pays $1,050 a month and $12,600 a year. Here is the math at common sizes, before the Toast fee and sales tax.
| Locations | Monthly billing per year | Annual billing per year | With Freepour, annual billing |
|---|---|---|---|
| 1 | $4,200 | $3,780 | $5,400 |
| 3 | $12,600 | $11,340 | $16,200 |
| 5 | $21,000 | $18,900 | $27,000 |
| 10 | $42,000 | $37,800 | $54,000 |
For a Toast group, add $600 a year per location. A five-unit Toast group on annual billing without Freepour is therefore looking at about $21,900 a year.
Does MarginEdge have a contract or a free trial?
MarginEdge has no contract on monthly billing, so you can leave at any time with no cancellation fee. Annual billing is the exception: if you cancel partway through the year, you forfeit the remaining balance. There is no free plan and no free trial, so the demo call is the only way to see the product before paying.
That makes the first month the real trial. Reviewers note that the first invoices take seven to ten business days to process while MarginEdge learns your vendors, and one to two days after that. Plan your first month around that delay, especially if you were hoping to see food cost numbers the week you sign up.
What you actually get for $350 a month
The price covers a full restaurant back office. You photograph invoices in the app or email PDFs, MarginEdge turns them into coded bills and line items, and the data flows into inventory counts, recipe costs, price alerts and a daily P&L built from POS sales. US customers can pay vendors through it without a per-bill fee, and it syncs with QuickBooks, Xero, Sage Intacct and NetSuite.
If your managers count inventory in the app every week, cost recipes there and pay vendors through it, $350 is a fair price. Replacing those pieces one by one would cost money and a lot of setup time. The price gets hard to defend in one situation: when the operator or the bookkeeper only uses the invoice data, and inventory and recipes still live in a spreadsheet.
Is MarginEdge worth it for a single restaurant?
It is worth it for a single restaurant that will use inventory, recipe costing and bill pay every week, because those three features save hours and catch real waste. It is not worth it if invoice capture is the only part you use. Then you are paying $3,780 to $4,200 a year for one feature that costs a fraction of that elsewhere.
A quick test: look at what your team did in MarginEdge over the last 30 days. If the answer is "invoices got scanned and we exported prices," you are overpaying. If it includes inventory counts, recipe updates and vendor payments, keep it. We go through the full decision, feature by feature, in our MarginEdge alternative comparison.
MarginEdge pricing compared with invoice-only tools
The cheaper route for invoice data is to pay by page instead of by location. Here is how the two models line up for a restaurant that receives Sysco and a couple of specialty vendors, which usually means 40 to 80 invoice pages a month per location.
| MarginEdge | InvoiceExtraction | |
|---|---|---|
| How it is priced | $350 per location per month | By pages: Starter $49 a month ($24 billed yearly), Plus $149 a month ($74 billed yearly) |
| Cost for 3 locations, yearly billing | $11,340 a year | $288 a year on Starter (up to 500 accurate pages a month), $888 on Plus |
| Invoice line items | Yes, inside MarginEdge | Yes, exported to Excel, CSV, JSON or QuickBooks |
| Turnaround | 1 to 2 days after onboarding | Seconds per invoice, totals checked before export |
| Inventory, recipes, bill pay, POS sales | Included | Not included |
| Free trial | No | Yes, convert sample invoices before you pay |
Be honest about what the cheaper column is missing. An extraction tool will not count your walk-in, hold your recipes or pay Sysco for you. If you want counts without a suite, a standalone inventory management system plus an invoice converter is still far below the per-location price, and each piece can be swapped on its own.
How restaurants get invoice data without MarginEdge
- Collect the week's invoices. Save PDFs from the distributor portals and photograph paper tickets from local vendors.
- Upload them in one batch. The Sysco invoice to Excel converter reads broadline, specialty and produce invoices the same way, including regional houses such as Shamrock Foods and Ben E. Keith.
- Review the flags. Line totals are checked against each invoice total, so a misread catch weight shows up as a flag instead of a silent error.
- Export one sheet or post to QuickBooks. One row per line item across every supplier for your food cost tab, and bills for QuickBooks through the QuickBooks AP automation export on the Plus plan.
Questions to ask before you sign with MarginEdge
- Will you use inventory counts and recipe costing every week, or only invoice data?
- Do you run Toast, and have you budgeted the $50 per location API fee?
- Is annual billing worth 10% off if cancelling mid-year forfeits the balance?
- Which onboarding package does your group size need, and what does it cost?
- How many invoice pages do you actually receive per location per month?
If the honest answers point to invoice data only, compare the per-location quote with page pricing first. The same logic applies to MarketMan pricing and the per-location Restaurant365 quotes.
