Short answer. Restaurant365 is a full restaurant back office: accounting with a general ledger, inventory, recipe costing, scheduling and payroll, sold per location on a custom quote. Third-party listings put its plans at roughly $249 to $469 per location per month. If you need restaurant-specific accounting across several units, it is a strong product. If what you actually want is supplier invoices captured line by line into QuickBooks or Excel, a page-priced extraction tool does that for $49 a month, or $24 a month billed yearly, for every location combined.

Restaurant365 does not publish prices. Its pricing page asks you to request a custom quote and lets you combine four product areas: Accounting, Inventory and Purchasing, Workforce Management, and Payroll and HR. The numbers below come from third-party software directories and buyer reports, not from Restaurant365, so treat them as a range to check against your own quote.

Two things matter more than the headline number. First, the price is per location, so a three-unit group multiplies it by three. Second, implementation and onboarding are quoted separately, and AP Capture Pro, where the Restaurant365 data entry team keys and reviews invoices for you, is an additional service on top of the software.
How Restaurant365 handles invoices
Invoices come into Restaurant365 by upload, by a photo from the mobile app or a scanner, or straight from vendors who email them in. AP Capture AI then uses OCR and AI models to read the header and line items and prefill a draft AP transaction, which someone approves before it posts to the ledger. It works well inside Restaurant365 because the vendor items, GL accounts and inventory items already live there.
That is also the catch. The capture step is valuable because it feeds the Restaurant365 ledger and inventory. If your books are in QuickBooks Online or Xero and you are happy there, you would be buying a second accounting system to get invoice capture.
Why restaurants look for a Restaurant365 alternative
We hear the same handful of reasons from owners, controllers and the bookkeepers who work for them:
- They only need the invoice lines. The accountant keeps the books in QuickBooks, payroll runs elsewhere, and the one painful job is getting Sysco, US Foods and specialty invoices into the books and the food cost sheet.
- Per-location pricing does not fit a small operator. One or two locations paying several hundred dollars a month each is a lot when the capture part is the only thing in daily use.
- The implementation is real work. Moving the chart of accounts, vendors and inventory items into a new system takes weeks, and some operators simply do not have a controller to run it.
- The bookkeeper serves many clients. An outside bookkeeper with ten restaurant clients cannot run each one in a different back office. They want one capture tool that exports to whatever system each client uses.
Restaurant365 vs. an invoice-only tool
This is an honest comparison. Restaurant365 wins on scope, and for a multi-unit group with a finance team that scope is the point.

What the invoice-only setup looks like
The stack that replaces Restaurant365 for a small operator is usually three pieces: QuickBooks Online for the books, the POS for sales, and a capture tool for supplier invoices. The capture step works like this:
- Download the invoices from each distributor portal, forward the emailed PDFs, or photograph the paper copies at delivery.
- Upload the batch. Every line comes back with item code, description, pack, quantity, catch weight where printed, unit price and extended price, and the lines are checked against the invoice total.
- Export a QuickBooks bill file for the books and an Excel sheet for food cost, or both from the same upload.

Is Restaurant365 worth it for one location?
It can be, if you want to replace QuickBooks, your inventory spreadsheet and your scheduling tool with one system and you have someone to run the implementation. It is usually not worth it if you plan to keep QuickBooks and the main problem is typing invoices. In that case you pay for a ledger you will not use.
Can I use QuickBooks instead of Restaurant365?
Yes. Plenty of independents and small groups run QuickBooks Online with a restaurant-savvy bookkeeper, a POS integration for daily sales, and a capture tool for supplier bills.
