A single location should budget roughly $5,600 to $9,000 a year before implementation. Restaurant365 (often shortened to R365) sells an accounting and operations suite for restaurants: general ledger, accounts payable, bank reconciliation, inventory, recipes, scheduling and reporting, with payroll and HR as extra modules. Older third-party listings also mention lighter Core Operations and Core Accounting bundles at around $249 per location. Treat every figure here as a starting point for negotiation rather than a price list, because the final number depends on modules, location count and term length. Restaurant365 does include unlimited users on each plan, so you do not pay more as managers and bookkeepers get access.

How much does Restaurant 365 cost for one location?

For one restaurant on the Essential plan, the reported range works out to about $5,628 to $5,988 a year. On Professional it is about $8,268 to $8,988 a year. That is the subscription alone. A realistic first-year budget also includes implementation, any payroll or HR modules, and the bookkeeping time needed to keep a full general ledger running inside a new system.

Compare that with what most single-unit owners actually want from back office software: knowing what last week's deliveries cost, catching price increases, and getting bills into the books without typing. Those jobs do not require replacing your accounting system.

Restaurant365 cost for multiple locations

Groups with 10 or more units usually negotiate below list, so use the table to sanity check a quote, not to predict it. For smaller operators the point is different: a three-unit group is looking at roughly $17,000 to $25,000 a year in subscriptions before anyone has scanned an invoice.

Does Restaurant365 charge an implementation fee?

Yes. Restaurant365's Master Subscription Agreement describes a Standard Implementation service that is required when components or integrations are added, priced as a multiple of the incremental monthly fee. The exact multiple is set in your quote and is not published. Reviewers also mention paid professional services for POS and vendor integrations, data migration and extra training. Ask for the implementation line in writing before you compare vendors, because it can be the largest single cost in year one.

Is there a Restaurant365 contract or free trial?

Restaurant365 sells term subscriptions. Under its Master Subscription Agreement you can cancel without a fee by giving at least 60 days' written notice before the current term ends, but you remain responsible for paying the rest of that term. Invoice capture in R365 runs through AP. AP Capture uses AI to read uploaded invoices and prefill draft AP transactions that someone then reviews and approves inside Restaurant365. AP Capture Pro adds a data entry service on top for higher accuracy. Both feed R365's own general ledger, inventory and food cost reports, which is the main reason to buy it: the invoice data, the books and the inventory live in one place.

The flip side is that the invoice data mostly stays inside R365. If your books are in QuickBooks Online or Xero and your food cost lives in a spreadsheet your chef already trusts, paying for a full accounting suite to get invoice lines is a lot of software for one job.

What a small restaurant stack costs instead

The setup that replaces R365 for most one to three unit operators has three parts. QuickBooks Online holds the books. The POS reports sales. A capture tool turns supplier invoices into line items and bills. For bank feeds, most banks connect to QuickBooks directly, and if yours only gives you PDF statements you can convert the PDF statement to a QBO file and import it.

For the invoice part, upload the distributor PDFs or phone photos to the restaurant invoice scanner and export one file a week with item, pack, catch weight and price on every row, or send the bills straight to QuickBooks with the QuickBooks AP automation export on the Plus plan. When Restaurant365 is worth the price

R365 earns its fee when several of these are true: you run five or more locations, you want restaurant-specific accounting with daily P&L by store, your controller is willing to move the general ledger, and you want scheduling and inventory in the same system as AP. In that case the per-location price buys consolidation, and paying for separate tools would cost more in time.
