Save the receipts from Purchase History in your Sam's Club account, keep the Scan & Go digital receipts, or photograph the paper tape, and every item comes back as a spreadsheet row with item number, description, quantity, price and tax flag. Instant Savings, deposits and fees stay on their own rows, so food, paper goods, cleaning supplies and resale stock are split before the bookkeeper ever sees them.

The short answer
To convert Sam's Club business receipts to Excel, sign in to samsclub.com or the Sam's Club app, open Purchase History and save each in-club, Scan & Go or online receipt, or photograph the paper copy, then upload the batch to InvoiceExtraction and export XLSX, CSV or a QuickBooks-ready file. Each item becomes one row with item number, description, quantity, price and tax flag, and the club, date and receipt total repeat on every row. Plans start at $49 a month, or $24 a month billed yearly, priced by pages and not per location.
Sam's Club item numbers go into a text column exactly as printed, so the same case of fryer oil or to-go cups lines up across every trip and every club.
Savings print as a separate negative line. It stays on its own row and keeps the item it reduces, so the sheet shows the shelf price and the price you really paid.
Taxed and untaxed items are marked on each row. A tax exempt account that got charged tax on resale stock shows up as a filter, not a guess.
Screenshots or saved copies of Scan & Go digital receipts from the app are read like paper ones and land in the same columns.
Extracted lines are summed against the receipt subtotal, tax and total. A missing line from a cut-off photo is flagged before you export.
One combined file for a month of club runs, or expenses sent to QuickBooks on the Plus plan with the receipt image attached.
In your Sam's Club account open Purchase History, filter by date and save each receipt, or take a flat, well lit photo of the paper tape the day you shop.
Sam's Club, Costco, Restaurant Depot and distributor invoices can share one batch. Each document is read on its own.
Usually a faded price on an old tape or a savings line the photo cut off.
Download XLSX or CSV with a row per item, or send the purchases to QuickBooks as paid expenses split by account.
A typical Sam's Club trip for a small restaurant or convenience store is not one kind of purchase. Chicken and cheese belong in food cost, clamshells and napkins in paper, degreaser in janitorial, a case of energy drinks in resale inventory and a printer cartridge in office expense. Posted as one total, all of it lands wherever the first line suggested, and your food cost percentage stops meaning anything.
With each line on its own row the split is a column you fill once and reuse. The Costco Business Center receipts converter and the Restaurant Depot receipts to Excel converter export into the same columns, so the same item bought at three warehouses compares on one sheet.
Convert a Sam's Club receiptUpload the saved receipt, a screenshot from the Sam's Club app or a photo of the paper copy, then export XLSX or CSV. The header (club, date, time and receipt total) is read once and repeated on every row, and each product line is split into item number, description, quantity, price and tax flag. Lines are summed against the subtotal, tax and total before the file is created, so a gap is caught on the receipt it came from.
Copying lines from the Purchase History screen or running a receipt through a general PDF to Excel tool usually gives one long column where abbreviated descriptions, prices and savings run together. That works for one trip. It does not work for the eight or ten trips a busy kitchen makes in a month.
Sign in on samsclub.com or in the Sam's Club app and open Purchase History. In-club purchases made with your membership card, Scan & Go trips and online orders are listed there, and you can filter by date and open a receipt to view or print it. If a trip is missing, the membership desk at the club can look it up. Because every purchase is tied to the membership, the receipts for a business account sit in one place, which is why uploading a whole month at once saves the most time.
For walk-in shopping the register receipt is the vendor document, and for bookkeeping it carries everything you need: date, every item, price, tax and how you paid. Online orders, including club pickup and delivery orders, come with an order receipt in Purchase History as well. Both convert here into the same columns, so a delivered order and a Saturday morning club run end up in one purchasing file.
This is how a few typical lines come out. Descriptions are kept exactly as Sam's Club prints them, which is short and abbreviated, so most buyers add one column with their own product name and a second with the account, then reuse both every month.
| Line on the receipt | Item number | Qty | Price | Tax | Your account |
|---|---|---|---|---|---|
| Canola oil, 35 lb jug | Text, as printed | 2 | $59.96 | No | Food cost |
| Instant Savings on the line above | Same item number | n/a | -$6.00 | n/a | Food cost |
| Hinged foam containers, case | Text, as printed | 1 | $42.98 | Yes | Paper and packaging |
| Energy drink, 24 pack | Text, as printed | 3 | $83.94 | Exempt | Resale inventory |
| Degreaser, 1 gal | Text, as printed | 1 | $12.48 | Yes | Janitorial |
Yes, and this is where line detail pays for itself. A business member with a tax exemption on file has it applied at checkout, but the cashier still has to ring the trip as business, and mixed baskets go wrong. Tax charged in error is credited at the club, so the sooner you find it the better. With every receipt exported as rows, filter the taxed lines on resale or exempt items for the month and take the list to the membership desk, instead of finding it at year end.
Yes. Export a CSV shaped for a QuickBooks expense import, or use the QuickBooks export on the Plus plan, with vendor, date, receipt number and line amounts filled in and the receipt image attached. Club purchases are already paid, so most bookkeepers post them as expenses against the card or bank account used at the register, with lines split across food, packaging, janitorial, resale and office accounts. For vendors you pay on terms, the QuickBooks AP automation page covers bills and approvals.
Independent restaurants, pizzerias, coffee shops, caterers and food trucks that buy a real share of their food and supplies at the club and want those prices next to their Sysco or US Foods deliveries. Convenience stores and small grocers that buy resale stock and need cost per unit for shelf pricing. Daycares, clinics and offices that run breakroom and cleaning purchases through a business membership. And bookkeepers who receive a stack of club receipts from each client every month and must split them into the right accounts.
You pay by pages processed, not by receipt, club or location. Starter is $49 a month ($24 a month billed yearly) for up to 500 pages on the most accurate model or 2,500 on the faster one, which covers years of club trips for a single business. Plus is $149 a month ($74 billed yearly) and adds bulk upload of 50 files at a time, custom extraction templates, category normalization, QuickBooks export and three seats. Restaurant back office suites that include receipt capture usually charge per location, as the MarginEdge pricing breakdown shows. Plan details are on the pricing page.
