Short answer. Toast does not publish xtraCHEF pricing. You get a quote from Toast sales, it is priced per location, and it depends on your tier, your location count and how many invoices you process. Third-party software directories put the entry price at about $149 a month per location and a professional tier at up to about $349 a month, and some report a one-time onboarding fee of roughly $1,049. That makes a single restaurant roughly $1,800 to $4,200 a year before onboarding. If what you mainly need is supplier invoice lines in Excel or QuickBooks, a page-priced invoice tool does that from $49 a month for all locations combined.

xtraCHEF pricing in 2026
xtraCHEF has been part of Toast since 2021 and is sold as xtraCHEF by Toast. Toast sells it in two tiers, Essentials (the old Lite tier) and Pro, and asks every buyer to request a demo or a quote. There is no public price list on Toast's site, and adding a location to an existing xtraCHEF account also goes through a demo request in the Toast shop. So every figure below comes from third-party listings and should be treated as a starting point for the sales call.
| Tier | What Toast includes | Reported price |
|---|---|---|
| Essentials (formerly Lite) | Invoice processing, accounting sync, food cost reporting, ingredient price tracking, vendor and order management | About $149 per location per month (Capterra starting price) |
| Pro | Everything in Essentials plus recipe creation, plate costing, inventory counts and advanced analytics | Up to about $349 per location per month (third-party estimates) |
| Onboarding | Setup and account configuration | About $1,049 one time on some listings, confirm in your quote |
| InvoiceExtraction, for comparison | Invoice line extraction to Excel, CSV and QuickBooks | $49 a month or $24 a month billed yearly, all locations combined |
Capterra describes the xtraCHEF model as priced per location, based on the total number of locations and the number of invoices. That second factor matters more than people expect. A kitchen with six or seven deliveries a week from a broadliner, a produce house, a meat purveyor and a beverage distributor sends far more paper through the system than a cafe with two vendors.
How much does xtraCHEF cost?
For one restaurant, expect roughly $149 to $349 a month for xtraCHEF, which is about $1,788 to $4,188 a year, plus any onboarding fee in your quote. The real number depends on whether you need Essentials or Pro, how many invoices you push through each month and what else Toast bundles into the deal. Ask for the per-location monthly price, the onboarding fee and the contract term in writing.
Most of the confusion around xtraCHEF cost comes from bundling. Toast often quotes it alongside POS, payroll or other modules, and a discount on one line can hide a higher price on another. When you compare it with anything else, pull the xtraCHEF line out of the bundle first.
xtraCHEF cost per year for multiple locations
Because the price is per location, groups feel it fastest. Here is the yearly math at the two reported price points, before onboarding.
| Locations | At about $149 per location per month | At about $349 per location per month | InvoiceExtraction, billed yearly |
|---|---|---|---|
| 1 | $1,788 | $4,188 | $288 on Starter |
| 3 | $5,364 | $12,564 | $288 on Starter if under 500 pages a month |
| 5 | $8,940 | $20,940 | $888 on Plus |
| 10 | $17,880 | $41,880 | $888 on Plus, or a higher volume tier |
The comparison is not like for like, and it is not meant to be. xtraCHEF Pro includes recipe costing and inventory. An invoice extraction plan covers the invoice lines only. The question is which of those you actually use every week.
Is xtraCHEF free with Toast?
No, not the full product. xtraCHEF is a paid Toast add-on, and the invoice processing, food cost reporting and recipe tools sit in the Essentials and Pro tiers that Toast quotes. Toast has offered no-cost entry points and promotions in the past, so ask your rep what is included with your current Toast plan, but budget for a paid per-location subscription if you want invoice processing at volume.
Does xtraCHEF work without Toast?
In practice, xtraCHEF is built for Toast restaurants. It pulls sales data from Toast POS for food cost and theoretical versus actual reporting, it is sold through Toast and Toast lists it as available only in the United States. If you run Square, Clover, Lightspeed or another POS, confirm with Toast before you plan around it. An invoice extraction tool has no POS requirement at all, because it only reads the invoices.
xtraCHEF Essentials vs Pro
Essentials is the invoice and cost tracking tier: it processes invoices, syncs to your accounting system, tracks ingredient prices and reports food cost. Pro adds the kitchen side, which means building recipes, costing plates, counting inventory and the deeper analytics. If nobody in your operation will build and maintain recipes, Pro is mostly paying for features that sit unused.
That is a useful test before you sign. Write down the three reports you will open every week. If all three come from invoice data (price changes, spend by vendor, cost by category), you are shopping for invoice capture, and that is a much cheaper product category.
Is xtraCHEF worth it?
xtraCHEF is worth it for a Toast restaurant that will use recipe costing and inventory and wants them tied to POS sales without another vendor. It is weaker value when the only part you use is invoice entry, when you run several locations on a tight budget, or when you are not on Toast. In those cases you pay a per-location price for a back office you do not need.
Operators in the second group usually want something simple: every line from every supplier invoice in a spreadsheet so the chef can watch prices, and the same data in QuickBooks so the bookkeeper can close the month. That is the job our restaurant invoice scanner does, for Sysco, US Foods, Gordon Food Service, specialty houses, beverage distributors and cash and carry receipts alike.
A cheaper option if you only need invoice lines
InvoiceExtraction reads supplier invoices and receipts (portal PDFs, emailed copies, scans and phone photos) and exports each line with item number, description, pack, quantity, catch weight, unit price and extended price. Lines are checked against the invoice total before export, and anything that does not add up is flagged instead of guessed.
- Starter is $49 a month, or $24 a month billed yearly, for up to 500 pages a month on the most accurate model.
- Plus is $149 a month, or $74 a month billed yearly, and adds bulk upload of 50 files at a time, custom templates, category normalization, QuickBooks export and three seats.
- Pricing is by pages processed, not by location, so a second store does not change the plan.
Vendor-specific guides cover the quirks of the big distributors, for example the Sysco invoice to Excel converter and the Costco Business Center receipts converter for warehouse runs. Bookkeepers who post the bills in QuickBooks and then reconcile the card and bank feeds against them can pair this with automated account reconciliation so month end does not stall on matching. The full plan list is on the pricing page.
Questions to ask Toast before you sign
- What is the per-location monthly price for Essentials and for Pro, outside any bundle?
- Is there an onboarding fee, and is it per account or per location?
- Is there an invoice volume limit, and what happens if we go over it?
- What is the contract term, and what does it cost to cancel or remove a location?
- Can we export our invoice line history to CSV if we leave?
The last question matters more than it looks. Your invoice history is your price history, and you want it in a format you own. If you are weighing other back office suites at the same time, our MarginEdge pricing and Restaurant365 pricing breakdowns use the same per-location math. The xtraCHEF alternative comparison lines up the options side by side, and the MarketMan alternative and MarginEdge alternative posts cover the two suites restaurants most often quote against xtraCHEF.
