Short answer. The main Craftable alternatives for restaurants and bars are MarginEdge ($350 per location per month, published), MarketMan (from $249 a month), Restaurant365 (about $469 to $499 per location on its Essential plan), xtraCHEF by Toast (quote, about $149 to $349 per location on third-party listings), BevSpot (from $79 a month per location billed yearly), WISK (from $249 a month per venue) and Backbar (free for one bar, $129 per location for automatic invoice entry). Pick a suite if you will really run inventory and recipes in it. If what you actually need from Craftable is supplier invoice lines in Excel or QuickBooks, an invoice extraction tool does that from $49 a month for all locations combined.

Why restaurants look for a Craftable alternative

Craftable is a hospitality back office: ordering, inventory and recipe management, AP automation and daily reporting, sold to restaurants, bars, hotels and resorts. Its site now leads with Craftable AI, including an Invoice AI that reads line items, matches invoices to purchase orders and flags price drift past a threshold. It is a serious product, and for a hotel with several outlets it often earns its price.

The reasons buyers shop around are fairly consistent, and most of them are about fit rather than quality:

  • No published price. Craftable quotes every account after a demo. Directories list a starting point around $99 a month, and our Craftable pricing breakdown shows why a full service restaurant with a bar can end up paying for more than one product per location.
  • Inventory never got adopted. The plan was weekly counts and recipe costing. Six months later the team only keeps up with invoices, and the bill has not changed.
  • Too much system for one or two locations. An owner-operator wants this week's protein prices in a sheet, not a purchase order workflow with three-way matching.
  • Bookkeepers with mixed clients. An accountant serving ten restaurants on different systems cannot move each client onto Craftable just to read their supplier invoices.

Craftable alternatives compared on price and fit

Prices below were checked on vendor pricing pages in October 2026 where a vendor publishes them. Where a vendor only quotes, the figure comes from third-party listings and is marked as an estimate. Per location and flat account pricing are not directly comparable, so convert everything to your own location count before you decide.

Craftable is stronger than an invoice tool on everything that happens after the invoice: counts, recipe costs, variance and purchase orders. We do not count bottles or cost recipes, and if those are the reason you looked at Craftable, the honest comparison is with MarginEdge, MarketMan or Restaurant365, not with us.

Which Craftable alternative fits a one or two location restaurant?

For one or two locations, the cheapest alternative that covers your real workload wins. If you will count inventory weekly, MarketMan Growth at $299 a month or MarginEdge at $350 per location are the usual shortlists, and MarginEdge is easier to budget because the price is printed and every feature is included. If you will not count inventory, any suite is mostly paying for features you skip. In that case extract the invoice lines and keep food cost in the workbook or QuickBooks file you already use.

Take a two location restaurant that receives about 160 invoice pages a month from a broadliner, a produce house and a beverage distributor. MarginEdge at two locations on yearly billing is about $7,560 a year. The same 160 pages fit inside Starter here at $24 a month billed yearly, $288 a year. That gap is worth paying only if the inventory and recipe modules will actually be used.

Which Craftable alternative fits a bar?

Bars that liked Craftable because it began as Bevager, a bar inventory product, usually compare BevSpot, WISK and Backbar. Backbar is the low cost entry: free for one bar with limits, with automatic invoice entry reserved for the $129 Professional plan, as our Backbar pricing post explains. WISK bundles scales and counting and charges a setup fee. BevSpot prints its Starter and Standard prices and quotes Pro. If the bar already counts on paper or in a sheet, getting the Southern Glazer's or Breakthru invoices into Excel line by line may be the only piece missing, and the Southern Glazer's invoice to Excel converter does that without a new inventory app.

Which Craftable alternative fits a multi-outlet group?

Groups with five or more locations and a finance team are where Craftable is hardest to replace, because benchmarking across outlets, central ordering and AP approvals are worth real money at that size. The direct alternatives are Restaurant365, if you also want the general ledger and payroll in the same suite, and MarginEdge, if your accounting stays in QuickBooks, Xero or Sage Intacct. For AP alone, groups also compare Ottimate, Stampli and BILL; our Plate IQ and Ottimate alternatives post has that table. A group that keeps its suite can still use an extraction tool for the documents the suite handles badly, such as warehouse club receipts and one-off supplier invoices.

Is there a cheaper alternative to Craftable for invoice processing?

Yes. If invoice capture is the only part of Craftable you need, a page-priced invoice extraction tool costs a fraction of a per-location suite. Upload distributor invoices as PDFs or phone photos and download one Excel or CSV file with a row per product line: item number, description, pack, quantity, catch weight, unit price and extended price, with the invoice number and date repeated on every row. Credits, fuel surcharges and deposits get their own rows, and lines that do not add up to the invoice total are flagged.

The pages are priced by volume, not by location. Starter is $49 a month, or $24 a month billed yearly, and Plus at $149 a month adds bulk upload, custom templates, category normalization and QuickBooks export. We have vendor specific guides for the suppliers restaurants use most, starting with the restaurant invoice scanner and including Sysco invoice to Excel and US Foods invoice to Excel.

What to check before you switch from Craftable

  1. Export your history first. Pull item price history, vendor lists and invoice images out of Craftable before the contract ends, so price tracking does not restart from zero.
  2. Count what you actually used. If the inventory and recipe screens were opened twice last quarter, budget for an invoice tool, not another suite.
  3. Price it per location for three years. Add setup and onboarding fees, POS API fees and the extra product a bar needs. A $350 per location plan is $12,600 over three years at one location.
  4. Test with your worst invoices. Upload a month of real documents, including faded delivery tickets, credits and catch weight lines, and compare the totals with what you paid.
  5. Check where the data lands. Coded bills in QuickBooks, a line level Excel file for the food cost sheet, or both. Some bookkeepers also want a simple alert when a vendor's weekly bill jumps, and tools that send a spend alert when a supplier bill spikes cover that without a back office suite.

Frequently asked questions

What is the best alternative to Craftable?

The best alternative to Craftable depends on what you used it for. For full inventory, recipes and invoice processing, MarginEdge is the most common choice because its $350 per location price is published and includes every feature. For bars, Backbar and BevSpot are cheaper. For invoice lines only, an extraction tool from $49 a month replaces the capture step without a new back office.

Is MarginEdge cheaper than Craftable?

Not always. MarginEdge prints $350 per location per month, while Craftable quotes each account and third-party listings show entry plans from about $99 a month. A small single product Craftable account can come in below MarginEdge, and a full service restaurant buying both bar and kitchen products can come in above it. Compare written quotes for your location count.

Does Craftable have a free trial?

Craftable does not list a free trial or a free plan; its site asks you to book a demo. MarginEdge and MarketMan also sell after a demo. Backbar has a free Basic plan for one bar, and with an invoice extraction tool you can test your own invoices at signup before choosing a plan.

Can I replace Craftable with QuickBooks?

Partly. QuickBooks handles bills, payments and the general ledger, but it does not count inventory or cost recipes the way Craftable does. Many small restaurants pair QuickBooks with an invoice extraction tool for line items and keep food cost in a spreadsheet, which covers the money side without a suite.

How long does it take to switch from Craftable?

Switching to another suite usually takes a few weeks of onboarding, item mapping and POS setup. Switching to invoice extraction only takes an afternoon: export your history, upload a month of invoices, check the totals and set up the QuickBooks or Excel export you want.
