Short answer. Ottimate (the AP automation company formerly called Plate IQ) does not publish prices. You book a demo and get a custom quote, and there is no free trial. Review sites describe a flat monthly fee with unlimited transactions and approvers, with tiers set by how many entities you run: Essential covers up to 3, Enhanced up to 10 and Enterprise up to 100. Third-party estimates put most restaurant quotes somewhere between $100 and $500 a month per location. If what you actually need is supplier invoice lines in Excel or QuickBooks, a page-priced extraction tool does that from $49 a month for every location you have.
Ottimate pricing in 2026
Ottimate sells accounts payable automation to hospitality, grocery, healthcare and accounting firms: invoice capture and coding, approval workflows, PO matching, vendor statement reconciliation, vendor payments and a corporate card with cash back. It integrates with QuickBooks, NetSuite, Sage Intacct, Microsoft Dynamics, Acumatica and other accounting systems. None of that has a public price tag. Here is what can be verified.
| Item | What is reported | Source |
|---|---|---|
| Published price list | None, demo and custom quote only | Ottimate website, G2, TrustRadius |
| Pricing model | Flat monthly fee, unlimited transactions and approvers | Restaurant software review sites and an Ottimate partner page |
| Tiers | Essential (up to 3 entities), Enhanced (up to 10), Enterprise (up to 100), billed monthly | Capterra listing |
| Starting range | About $100 to $500 a month | SelectHub listing |
| Typical restaurant quote | About $300 to $500 a month per location | Third-party restaurant software reviews (estimates) |
| Free trial | Not offered | TrustRadius, Capterra |
Treat every dollar figure above as an estimate. They come from review sites and buyers, not from Ottimate, and the final number depends on entity count, modules, payment volume and how hard you negotiate.
What did Plate IQ cost before it became Ottimate?
An older Plate IQ price sheet, still hosted on G2, priced per location by monthly invoice volume, with three feature levels at each volume. It is undated and predates the rebrand, so read it as history rather than a current offer.
| Invoices per location per month | Lowest tier | Middle tier | Highest tier |
|---|---|---|---|
| Up to 75 | $99 | $119 | $139 |
| Up to 150 | $169 | $199 | $239 |
| Up to 250 | $259 | $309 | $369 |
The useful takeaway is the shape of the price, not the exact figures. Plate IQ charged per location, and volume pushed you up a tier. Ottimate has since moved to entity based tiers with a flat fee, which is friendlier to a busy single location and less predictable for a growing group.
How much does Ottimate cost per location per year?
Using the third-party restaurant estimate of $300 to $500 per location per month, the yearly subscription looks like this. These are illustrations of the reported range, not quotes.
| Locations | Low estimate per year | High estimate per year |
|---|---|---|
| 1 | $3,600 | $6,000 |
| 3 | $10,800 | $18,000 |
| 5 | $18,000 | $30,000 |
| 10 | $36,000 | $60,000 |
For a ten-unit group that pays 4,000 invoices a month, approvals, payments and statement reconciliation can easily justify that spend. For one or two kitchens where the owner or an outside bookkeeper approves everything anyway, most of the value sits in one feature: getting the invoice lines captured correctly.
What you get for the money
It helps to be fair about what Ottimate covers, because comparing it to a plain scanner on price alone is misleading. The platform includes:
- Invoice capture with line items, which Ottimate states is 98% accurate, including handwritten invoices.
- Automatic GL coding and multi-step approval workflows with unlimited approvers.
- Purchase order matching and alerts when a vendor's price changes.
- Vendor statement reconciliation, so missing invoices surface before month end.
- Vendor payments by ACH, check or card, plus the Ottimate Card with cash back.
- A mobile app for approvals and photo capture at the back door.
If you will use approvals, payments and reconciliation every week, compare Ottimate against other full AP suites, not against a converter. If you mostly need the first bullet, you are paying for five features you will not open.
Is Ottimate worth it for a small restaurant?
Ottimate is worth it for a small restaurant only if you will run approvals and vendor payments through it. A single location where one person approves every bill usually gets the same food cost insight from line level invoice capture alone, at a fraction of the cost. The deciding question is who touches an invoice between delivery and payment. If the answer is one person, a full AP platform is more process than you have.
Two other details matter for small operators. There is no free trial, so you commit after a demo instead of after running your own invoices through it. And because the fee is a quoted flat amount, ask what happens to the price when you add a second location or cross an invoice volume, so year two does not surprise you.
Ottimate pricing compared with other restaurant invoice tools
Every tool below captures supplier invoice lines. They differ in what else they bundle and how they charge.
| Tool | Price | How it charges | Best for |
|---|---|---|---|
| Ottimate | Quote only, estimates about $100 to $500 a month | Flat monthly fee by entity tier | Groups that want approvals, payments and reconciliation |
| MarginEdge | $350 per location per month | Per location, published | Operators who want invoice capture plus food cost and recipes |
| Restaurant365 | About $469 to $749 per location per month (reported) | Per location, quoted, term contract | Groups replacing their whole accounting system |
| MarketMan | From $249 a month | Per location, published | Inventory and ordering with invoice scanning |
| InvoiceExtraction | From $49 a month ($24 billed yearly) | By pages processed, any number of locations | Owners and bookkeepers who want invoice lines in Excel, CSV or QuickBooks |
We have written up the detail behind those numbers in our MarginEdge pricing breakdown and the Restaurant365 pricing guide. If you are already leaning away from Ottimate, the Plate IQ alternative comparison walks through switching.
Is there a cheaper alternative to Ottimate for invoice capture?
Yes. If you only need supplier invoices turned into line items, InvoiceExtraction reads Sysco, US Foods, Performance Foodservice and any other distributor invoice without templates, from a portal PDF or a phone photo, and exports every line with item number, pack, quantity, catch weight, unit price and extended price. Lines are checked against the invoice total before you download, and anything that does not add up is flagged. Starter is $49 a month ($24 billed yearly) for up to 500 pages on the most accurate model, and Plus at $149 a month adds bulk upload, category normalization and a QuickBooks bill export. There is no per-location fee.
The restaurant invoice scanner page shows the full workflow, and each big distributor has its own guide, starting with the Sysco invoice to Excel converter. If your team also needs data pulled from contracts, bills of lading or tax forms, not just invoices, that is a job for an enterprise document data extraction platform rather than an AP suite.
Questions to ask before you sign an Ottimate quote
- Is the flat fee per entity, per location or for the whole account, and what triggers a move to the next tier?
- Are vendor payments included, and are there per-payment fees for ACH, check or card?
- How long is the term, and how much notice is needed to cancel?
- Is there an implementation or onboarding fee, and how long until invoices flow into your accounting system?
- Can you export your invoice line history if you leave?
Get those answers in writing. They decide the real cost more than the headline monthly figure does.
