Short answer. Stampli does not publish prices. Its pricing page has no dollar figures, no tiers and no per-user rates, only a quote request form, and review listings describe usage-based pricing billed monthly with no free trial. Independent estimates put the core accounts payable product at roughly $500 to $800 a month, and well past $2,000 a month once payments, procurement or vendor management are added. A restaurant group that mainly needs supplier invoice lines in Excel or QuickBooks can do that from $49 a month for every location.
Stampli pricing in 2026
Stampli sells invoice-centered accounts payable automation to finance teams: capture, coding, approval conversations on the invoice itself, PO matching and posting to ERPs and accounting systems such as NetSuite, Sage Intacct and QuickBooks. Its pricing page says the price is "as simple as our implementation" and asks you to request a quote. Here is what the page and third-party listings actually show.
| Item | What is shown or reported | Source |
|---|---|---|
| Published price | None, quote only | stampli.com/pricing |
| Core plan includes | Invoice capture, unlimited entities, locations and vendors, semi-automated 2 and 3 way PO matching, 12 prebuilt reports, a customer success manager, onboarding and training | stampli.com/pricing |
| Separate products | Procurement, Direct Pay, Advanced Vendor Management (quote), Stampli Card (free for customers) | stampli.com/pricing, PricingSaaS |
| Pricing model | Usage based, mostly driven by invoice volume, billed monthly | Review listings |
| Free trial | Not offered | Review listings |
| AP only estimate | About $500 to $800 a month | Independent estimates, not Stampli |
| With payments and other modules | Often above $2,000 a month | Independent estimates, not Stampli |
Treat every dollar figure in that table as a range, not a price. None of them comes from Stampli, and the number you get depends on invoice volume, modules, ERP and contract length.
How much does Stampli cost?
Stampli costs whatever your quote says, and the quote mostly follows invoice volume. Reported figures put a mid-market team processing 500 to 1,000 invoices a month at roughly $8,000 to $15,000 a year for core AP, with payments and procurement modules adding more. A team that processes many invoices pays more than a larger team that processes few, because seats are not the main pricing lever.
For a restaurant group that math matters. A single full-service kitchen easily receives 30 to 60 supplier invoices a month once you count the broadline truck, produce, dairy, bread, beverage and the odd cash and carry run. Five locations can pass 250 invoices a month without trying, which is squarely in the volume band where AP platforms start pricing like mid-market software.
Stampli cost for a multi-location restaurant group
Stampli's strongest selling point for groups is that unlimited entities and locations are included, so you are not charged per restaurant the way back office suites charge. That is a real advantage over tools priced per location. The catch is that volume still drives the quote, and restaurant volume is high relative to the dollar value of each invoice. The table below shows rough yearly cost for a group at different sizes, using the independent estimates above for Stampli and published prices for the alternatives.
| Group size | Supplier invoices a month (typical) | Stampli, estimated yearly | Ottimate, estimated yearly | InvoiceExtraction, published yearly |
|---|---|---|---|---|
| 1 location | 40 | $6,000 to $9,600 | $1,200 to $6,000 | $288 (Starter, billed yearly) |
| 3 locations | 120 | $6,000 to $9,600 | $3,600 to $18,000 | $288 to $888 |
| 8 locations | 320 | $8,000 to $15,000 and up | $9,600 to $48,000 | $888 (Plus, billed yearly) |
Ottimate figures come from our Ottimate pricing breakdown, which uses third-party estimates of $100 to $500 per location per month. InvoiceExtraction prices are on our pricing page: Starter is $49 a month or $24 a month billed yearly for up to 500 pages on the most accurate model, and Plus is $149 a month or $74 a month billed yearly with bulk upload, category normalization, QuickBooks export and three seats. The tools do different jobs, so the comparison is only fair if your main need is getting invoice data out.
What you get for the money with Stampli
Stampli earns its price when accounts payable is a team sport. Every invoice becomes a thread where approvers, purchasing and the AP clerk can comment and sign off, its AI agent (now branded Billy) learns your coding and routing, and the posted bill lands in NetSuite, Sage Intacct, Microsoft Dynamics, QuickBooks or another ERP with the approval history attached. If you have a controller, several approvers per location and payments to schedule across many entities, that workflow is the product.
- Approval workflows with comments on the invoice itself.
- PO matching for groups that issue purchase orders.
- Vendor payments through Direct Pay, plus a free corporate card.
- Unlimited entities, which suits restaurant groups that run each location as its own LLC.
What Stampli is not built for is restaurant food cost. Its feature lists do not mention catch weight, pack size, item price history or splitting a Sysco invoice into proteins, produce and paper goods by line. Those are the things a chef-owner or a restaurant bookkeeper usually wants first.
Is Stampli worth it for restaurants?
Stampli is worth it for a restaurant group with a finance team, several approvers and real payment volume, typically ten or more locations on NetSuite or Sage Intacct. It is hard to justify for an independent owner or a small group whose real problem is typing supplier invoices into a spreadsheet or QuickBooks. There, a few hundred dollars a year of extraction does the job that a five-figure AP contract was bought for.
A simple test: list what you want to stop doing. If the list is "chasing approvals, matching POs and running payment batches," talk to Stampli or Ottimate. If the list is "typing Sysco lines, catching price increases and entering bills," you need line-level extraction, not an AP platform.
Stampli alternatives for restaurant invoice processing
| Tool | Pricing | Best for |
|---|---|---|
| Stampli | Quote, estimates about $500 to $800 a month for AP only | Finance teams with approval chains and ERP posting |
| Ottimate (formerly Plate IQ) | Quote, estimates about $100 to $500 per location a month | Hospitality groups that want AP plus restaurant reporting |
| Restaurant365 | Published plans per location, see our Restaurant365 pricing post | Groups that want accounting, inventory and scheduling in one system |
| InvoiceExtraction | From $49 a month, $24 billed yearly, not per location | Owners and bookkeepers who want every invoice line in Excel, CSV or QuickBooks |
If you are weighing Ottimate as well, our Ottimate and Plate IQ alternatives comparison covers how the restaurant-focused AP tools differ for multi-location invoice processing.
What should you ask for in a Stampli quote?
Ask for the price at your actual monthly invoice count and at 1.5 times that count, so you know what growth costs. Then get these in writing before you sign:
- Which invoice volume band the quote assumes and the overage rate above it.
- Whether the ERP connector and implementation are included or billed separately.
- Which modules are in the price: Direct Pay, Procurement, Advanced Vendor Management.
- Contract length, auto-renewal terms and the price increase cap at renewal.
- Whether line items are captured on every invoice or only on PO invoices.
That last question decides whether you still need a second tool for food cost. If line items are only captured for PO matching, your Sysco and produce invoices may post as header totals, and someone still has to key the lines to track prices.
Getting supplier invoice lines without an AP platform
For most independent restaurants and small groups, the job is narrower than accounts payable automation. You want each supplier invoice turned into rows with item, pack, quantity, weight and price, checked against the invoice total, and then dropped into the food cost sheet or posted to QuickBooks. That is what InvoiceExtraction does. Upload the week's PDFs and phone photos in one batch through the restaurant invoice scanner, export XLSX or CSV, or send bills to QuickBooks on the Plus plan. The QuickBooks AP automation page shows the bill flow, and the bulk invoice processing page covers month-end catch-up batches.
The same goes for the money coming in. If your group also bills catering clients or event accounts on terms, it is worth looking at tools that automate the reminders for unpaid catering and event invoices, since AP platforms like Stampli only cover the bills you pay.
Stampli pricing FAQ
Does Stampli have a free trial?
No. Review listings show no free trial and no free version. Stampli sells through a demo and a custom quote, and the only free item on its pricing page is the Stampli Card for existing customers. If you want to test invoice extraction on your own invoices first, a page-priced tool lets you run a real batch before committing.
Is Stampli priced per user?
No. Stampli's public materials stress unlimited users, entities and vendors, and reported quotes follow invoice volume and modules instead of seats. That helps restaurant groups with many approvers, but high invoice counts per location still push the price up.
Does Stampli work with QuickBooks?
Yes. Stampli lists QuickBooks among its accounting integrations, along with NetSuite, Sage Intacct, Microsoft Dynamics and others. Ask whether the connector is included in your quote, since some independent sources report ERP connector fees on top of the subscription.
What is a cheaper alternative to Stampli for restaurants?
If you need approvals and payments, Ottimate or a bill pay tool is the closer substitute. If you mainly need supplier invoice lines in a spreadsheet or QuickBooks, InvoiceExtraction does that from $49 a month, or $24 a month billed yearly, with no per-location fee.
