Upload your FreshPoint invoice PDFs or phone photos of the delivery ticket, and every produce line comes back as a spreadsheet row with item number, description, pack count, unit, quantity, weight where it is billed by the pound, unit price and extension. Week over week price changes on lemons, avocados and greens become a filter instead of a hunch.

The short answer
To convert FreshPoint invoices to Excel, download the invoice PDFs from your FreshPoint or Sysco online account, or photograph the paper ticket at delivery, then upload them to InvoiceExtraction and export XLSX or CSV. Each produce line becomes one row with item number, description, pack count, unit, quantity, weight, unit price and extended price, and credits for shorts or rejected cases come out as their own rows. Plans start at $49 a month, or $24 a month billed yearly, with no per-location fee.
FreshPoint item numbers stay in a text column with leading zeros intact, so the same case of romaine lines up across every delivery and your price history is one pivot table.
Counts and sizes such as 36 CT, 25 LB or 12/1 LB are split out, so a switch from 140 count to 115 count lemons shows up as a different cost per piece, not a mystery.
Items sold by the pound keep the billed weight and price per pound next to the extension, so the line ties to what you were charged.
Invoice date repeats on every row, so last week and this week for the same item sit side by side and a jump in tomatoes or berries is easy to spot.
Credit memos for rejected product, shorts and substitutions land as separate rows with a negative amount, which keeps produce cost honest at month end.
One combined file for the month, or bills sent to QuickBooks on the Plus plan with the invoice image attached.
Save the invoice PDFs from your online account, or take a flat photo of the signed delivery copy at the back door before it gets wet.
FreshPoint, Sysco and your other suppliers can share one batch. Each invoice is read on its own, without templates.
Lines are added up against the invoice total. Handwritten weight corrections and smudged prices are highlighted so you only look at those.
Download XLSX or CSV with a row per item and drop it into the food cost sheet you already use.
Dry goods and frozen product hold a price for months. Produce does not. A freeze in growing regions, a short crop or a holiday week can move the price of limes, avocados or leafy greens from one delivery to the next, and the only line level record of what you paid is the invoice. When those invoices sit in a folder as PDFs, nobody compares them until the monthly food cost comes in high.
Converting each delivery the day it arrives turns that pile into a price history by item. Sort by item number, and you see the week the case price of cilantro doubled, the substitution you did not order and the credit that never showed up on a statement.
Convert a FreshPoint invoiceUpload the FreshPoint invoice PDF or a photo of the paper copy and export XLSX or CSV. The header (invoice number, date, customer number and delivery location) is read once and repeated on every row, and each produce line is split into item number, description, pack, unit, quantity, weight, unit price and extended price. The lines are checked against the invoice total before the file is created, so the sheet you download ties out.
A general PDF to Excel tool copies the page layout instead, which on a produce invoice usually means pack, description and brand in one cell and weights shifted into the wrong column. Here every item is its own row with numbers in number cells, ready for a lookup against your recipe costs.
FreshPoint customers order through myFreshPoint.com or the mobile app, and account payments and statements run through Pay.Sysco.com, since FreshPoint is part of Sysco. Invoice copies are available from your online account or from your sales rep, and every delivery comes with a paper ticket that the receiver signs. Any of those formats converts here the same way.
If you photograph the paper ticket, do it flat and in good light, and include any handwritten notes the driver made for shorts or rejected cases. Those notes are where most produce credits start.
Produce is sold by the case, but recipes use a lemon, a head of romaine or a pound of onions. With pack count in its own column, cost per piece is the case price divided by the count, and a change in count from one week to the next stops hiding a price increase. These sample rows show the shape of the export.
| Line on the invoice | Pack | Unit | Qty | Weight | Unit price | Row type |
|---|---|---|---|---|---|---|
| Lemons, choice | 115 CT | CS | 2 | n/a | $48.50 | Produce |
| Romaine hearts | 12/3 CT | CS | 3 | n/a | $41.25 | Produce |
| Heirloom tomatoes | 10 LB | LB | 1 | 10.4 | $3.95 | Produce, by weight |
| Credit, rejected cilantro | 30 CT | CS | -1 | n/a | $24.00 | Credit |
Most kitchens that buy produce from FreshPoint get everything else from a broadline truck, often Sysco, and the two arrive as separate invoices on separate days. The Sysco invoice to Excel converter exports into the same columns, so produce, proteins, dairy and dry goods end up on one sheet that you can total by category or by week.
Specialty items from other houses fit the same way. If you buy cheese, seafood and imported pantry goods from Chefs' Warehouse, the Chefs' Warehouse invoice converter reads those catch weight lines too, and the restaurant invoice scanner covers every other supplier at the back door.
Chef owned restaurants and farm to table kitchens where produce is a large share of food cost. Hotel and resort kitchens, caterers and healthcare or school food programs that receive several produce deliveries a week. And bookkeepers who keep the books for a few restaurants and need each produce invoice split by line instead of posted as one lump sum.
Yes. Export a CSV in the shape QuickBooks expects, or use the QuickBooks export on the Plus plan, with vendor, invoice number, date, due date and line amounts filled in and the invoice image attached. Bookkeepers usually post FreshPoint invoices as bills on terms, coded to a produce or food cost account, and apply credit memos against the next payment. The QuickBooks AP automation page covers the bill workflow in more detail.
You pay by pages processed, not by invoice, supplier or location. Starter is $49 a month ($24 a month billed yearly) for up to 500 pages on the most accurate model or 2,500 on the faster one, which covers a busy kitchen's produce and broadline invoices with room to spare. Plus is $149 a month ($74 billed yearly) and adds bulk upload of 50 files at a time, custom extraction templates, category normalization, QuickBooks export and three seats. Full plan details are on the pricing page, and any other invoice can go through the general invoice to Excel converter.
Download the invoice PDF from your online account or photograph the paper delivery copy, upload it here and export XLSX or CSV. Each produce line becomes a row with item number, description, pack, unit, quantity, weight, unit price and extended price, and the invoice number and date repeat on every row.
Yes. Items billed by the pound keep the billed weight, the price per pound and the extended price as separate numbers, so the line adds up to what FreshPoint charged. Handwritten weight corrections on a paper ticket are read too, and flagged when the confidence is low.
Yes. Invoices from both are read without templates and land in the same columns, so you can upload a week of FreshPoint and Sysco deliveries in one batch and get one combined file sorted by date, supplier, category or item.
Plans start at $49 a month, or $24 a month billed yearly, for up to 500 pages on the most accurate model. Pricing is by pages processed across all your suppliers and locations, with no per-location or per-vendor fee.
Yes. Export a QuickBooks shaped CSV, or use the QuickBooks export on the Plus plan, which creates bills with vendor, invoice number, dates and line amounts filled in and the invoice image attached. Credit memos come through as separate documents.
