Short answer. Apicbase does not publish prices. Its pricing page lists three plans (Growth, Professional and Enterprise) and every one says "Talk to our team." What the page does state is how you are billed: subscriptions are billed annually by credit card, monthly billing adds 15%, the listed price starts at one location and the fee per location drops as you add more. Third-party directories show figures such as $160 for a single outlet bundle and about $249 a month per module, but neither is confirmed by Apicbase. If the part you would actually use is getting supplier invoices into Excel or QuickBooks line by line, a page-priced extraction tool does that from $49 a month, or $24 a month billed yearly, for all locations combined.

How much does Apicbase cost per month?

Apicbase sells on a quote. There is no price on the plans page, no calculator and no self-serve checkout, so the only way to get a number is a sales conversation. Here is what the vendor says and what outside sources report, kept apart so you know which is which.

The honest range from outside sources is a few hundred dollars a month for a first location with a couple of modules, falling per location as you add outlets. Treat that as a number to test a quote against, not as a price list.

What does each Apicbase plan include?

According to the vendor's own page, the plans stack on each other:

  • Growth starts from five outlets and includes menu engineering, procurement, inventory management, sales analytics, a mobile app for intake and counts, and order to par.
  • Professional adds demand forecasting, bill of materials ordering, user management, custom fields and SSO with two factor sign in.
  • Enterprise adds a 99% uptime SLA, a dedicated customer success manager, higher API limits, custom integrations and more storage.

Add-ons are sold separately and also carry no listed price: HACCP and tasks, internal ordering, production planning, traceability, API, menu planning and carbon footprint. The plans page does not mention invoice OCR. "Invoice matching" appears in the site navigation under the platform, so ask in the demo whether reading supplier invoices is in your plan or a separate line item.

What will Apicbase cost per outlet for a group?

Because the fee per location drops as you add locations, the price per outlet depends on your count and your modules, and the page's own wording implies a volume discount ("bulk discount applies"). A rough way to hold a quote to account is to ask for the same four numbers from every vendor you compare.

  • The annual total for your exact outlet count and modules, billed annually.
  • The same total billed monthly, which should be about 15% higher according to the pricing page.
  • Onboarding and implementation fees, which are not listed.
  • The renewal uplift and the notice period to cancel.

For comparison, MarginEdge publishes $350 per location per month (see our MarginEdge pricing breakdown), MarketMan starts at $249 a month (MarketMan pricing) and Restaurant365 runs roughly $469 to $499 per location on its Essential plan (Restaurant365 pricing).

Is Apicbase worth it for invoice entry alone?

Usually not. Apicbase is a food and beverage management platform: recipes, menu engineering, production, traceability and ordering across many outlets, aimed at groups that start around five locations. If you will use those, the price buys real work. If the team will only use it to get supplier invoices into a spreadsheet or the accounting system, you are paying for a platform to do a data entry job.

That job is what an invoice extraction tool does. You upload supplier invoices as PDFs, scans or phone photos, and every line comes back as a row with item number, description, pack, quantity, unit price and extended price, reconciled to the invoice total, ready for Excel, CSV or QuickBooks bills. Pricing is by pages processed: Starter is $49 a month ($24 billed yearly) for up to 500 pages on the most accurate model, and Plus is $149 a month ($74 billed yearly) with bulk upload, custom templates, category normalization, QuickBooks export and three seats. There is no per-location fee. Start with the restaurant invoice scanner or the invoice to Excel converter and test your own invoices.

How to choose

Pick Apicbase if you have five or more outlets, central production or a menu that changes often, and you will run recipes and ordering in it. Pick an extraction tool if you already have a POS and an accounting system and the gap is supplier invoice lines. Many groups also keep their bank side tidy in the same sitting, for example when they convert PDF bank statements to Excel for the month end close, and that is a different job from anything an F&B platform does.

Apicbase pricing FAQ

Does Apicbase have a free trial?

The pricing page does not mention a free trial or a free plan. Apicbase lists no permanent free tier, and evaluation goes through a conversation with its team. Ask for a pilot on your own invoices before signing an annual term.

Does Apicbase charge per location?

Yes. The listed price starts with one location and the fee per location drops as you add outlets. Plans are also tied to your module and add-on choices, so two groups with the same outlet count can pay different amounts.

Is monthly billing available?

Yes, at a premium. Subscriptions are billed annually by credit card, and monthly billing carries an additional 15% fee according to the pricing page.

Can I use Apicbase only for invoices?

You can try, but the product is built around recipes, procurement and inventory. If invoice lines are the only need, a page-priced extraction tool is the lighter option and costs a fraction of a per-outlet platform.
