Short answer. BILL Accounts Payable costs $49 per user per month on Essentials, $65 on Team and $89 on Corporate, with Enterprise on a custom quote, and every payment you send adds a fee: $0.59 for an ACH payment, $1.99 for a check and 2.9% to pay by card. Per-user pricing means a bookkeeper plus two approvers is three seats, so the bill grows with your team, not your invoice volume. If what you really need is supplier invoices turned into line items in Excel or QuickBooks, a page-priced tool does that from $49 a month for everyone.
How much does BILL cost per user?
These are the plan prices listed on the BILL pricing page for Accounts Payable (checked November 2026). BILL does not state on that page whether the figures assume annual or monthly billing, so confirm that on your quote.
| Plan | Price per user per month | QuickBooks sync | Other notable limits |
|---|---|---|---|
| Essentials | $49 | Manual CSV import and export | 6 standard user roles, no AI multi-line bill coding |
| Team | $65 | Automatic two-way (QuickBooks Online, Pro, Premier) | AI multi-line bill coding, Xero two-way sync, custom roles |
| Corporate | $89 | Automatic two-way | Custom approval policies, single sign-on, approver-only discounts |
| Enterprise | Custom quote | Automatic two-way, including QuickBooks Enterprise | 2-way and 3-way matching, multi-entity, NetSuite and Sage Intacct sync, premium phone support |
Two details matter more than the headline price. First, automatic QuickBooks sync starts on Team, so the entry plan is a CSV workflow. Second, multi-entity support and 3-way matching are Enterprise only, which is the plan with no listed price.
What are BILL's payment fees on top of the plan?
BILL charges per transaction on any plan. The page lists $0.59 for an ACH or ePayment, $1.99 for a check, a free virtual card, and 2.9% when the payer pays by credit or debit card. Instant payment is 1.0% with a $9.99 minimum and a $100 maximum, Pay Faster ACH is $11.99 and an international USD wire is $19.99.
For a business paying 200 suppliers a month by ACH, that is about $118 in payment fees on top of seats. Pay the same 200 by check and it is about $398. Fees are small per payment and easy to ignore until you add them up across a year.
What does BILL cost for a small business by team size?
Seats are the lever. The table multiplies the listed monthly price by the number of people who need access, before any payment fees and assuming the listed price is the monthly figure.
| Users | Essentials per month | Team per month | Corporate per month |
|---|---|---|---|
| 1 (owner-bookkeeper) | $49 | $65 | $89 |
| 3 (bookkeeper and two approvers) | $147 | $195 | $267 |
| 5 (multi-location manager group) | $245 | $325 | $445 |
A restaurant group where each general manager approves their own invoices lands on Team or Corporate quickly, and the annual figure for five seats on Team is about $3,900 before payment fees.
What does BILL do, and what does it not do?
BILL is an accounts payable and payments platform. It collects bills in a central inbox, routes them through approvals and pays them by ACH, check or card. That is the right shape if your pain is approvals and paying suppliers on time.
It is built around the bill as a document, not around the lines on it. For a restaurant, grocer or bar the cost lives on the lines: case price on chicken thighs, a changed pack size, a short-shipped item that should have been credited. AI multi-line coding on Team and above helps code a bill to accounts, but it is not a spreadsheet of every item you bought each week.
When is BILL worth it, and when is it more than you need?
BILL earns its price when several people approve bills, when you want payments and approvals in one place and when you have a controller who needs an audit trail. It is more than you need when one person enters bills and pays them from the bank, and the only problem is typing invoice lines.
- Worth it: three or more approvers, payments run through the platform, a need for two-way sync with Xero or QuickBooks.
- More than you need: one bookkeeper, payments made outside the tool, and the goal is line-level cost data in Excel or QuickBooks.
A cheaper way to get invoice lines without paying per seat
InvoiceExtraction reads supplier invoices (PDFs, emailed copies or phone photos) and returns every line as a spreadsheet row with item, pack, quantity, unit cost and extension. You pay for pages processed, not for seats or locations. Starter is $49 a month ($24 a month billed yearly) for up to 500 pages, and Plus is $149 a month ($74 billed yearly) with bulk upload of 50 files at a time, QuickBooks export and three seats.
It does not pay your suppliers or run approvals, so it is not a BILL replacement for a team that needs those. It is the right fit when you pay suppliers your usual way and want clean data. See the QuickBooks AP automation page for the bill workflow, the restaurant invoice scanner for supplier invoices, or the pricing page for the full plans. For a comparison of the whole field, see Stampli pricing and Ottimate pricing.
Many owners also keep receipts and card spend in a separate place. If that is you, you can categorize receipts and card spend automatically and keep supplier invoices in one extraction workflow.
How do I compare BILL against my current process?
Count three numbers for one month: the number of people who touch a bill, the number of payments you send and the method for each, and the hours spent typing invoice lines. Seats times the plan price plus payment fees is your BILL cost. Hours times what your time is worth is what the typing costs today. If typing is the larger number and approvals are not a problem, extraction alone solves it for less.
What should I ask BILL before signing?
A few questions change the real cost. Ask whether the listed price assumes annual billing and what the monthly price is. Ask how many users you need for approvals and whether approvers count as full seats. Ask which plan unlocks the sync your accountant uses, since automatic QuickBooks sync is not on Essentials. And ask what the free trial covers, because the pricing page says a trial is available in most cases without giving its length.
Then price your own volume. A business with 40 supplier invoices a month and one bookkeeper may find the per-user plan reasonable. A group with 800 invoices a month across six managers will find that seats, payment fees and a likely Enterprise upgrade for multi-entity reporting move the number a long way from $49.
Keep the data question separate from the payments question. Even if you choose BILL to approve and pay, you may still want each item from each supplier invoice in a sheet to watch cost by item over time. That is a different job, and it is priced by pages, so it does not grow with the number of people on your team.
